Our verdict
Box Business is worth a pilot when your team needs managed content sharing with outside organizations and can show that its current Microsoft 365 or Google Workspace setup cannot meet that requirement. It is harder to justify as an extra subscription for basic internal file storage. Do not buy it as your backup system: Box Drive sync and version history can help recover some files, but they do not create a separate point-in-time backup of your devices or SaaS data.
For a new buyer, the critical choice is Business versus Business Plus. Business has unlimited overall storage but a 5 GB per-file upload limit and external collaborators may consume paid seats. Business Plus costs more but lists unlimited external collaborators and a 15 GB per-file limit. A partner-heavy project can therefore change the cost comparison even when the internal staff count stays the same.

Which Box plan should a small business price?
The US Box pricing page, checked September 24, 2026, lists the following per-user monthly prices when billed annually. It shows a three-user minimum for these plans. Taxes, optional add-ons, implementation work and any paid external seats are excluded.

Box also lists monthly-billing prices; for Business, the page shows $20/user/month rather than $15. Confirm the selected term and renewal amount at checkout. Enterprise Advanced requires a sales conversation. The buying brief above selects Box Business only; do not attribute Enterprise capabilities to that $15 plan.
For 10, 25 and 50 internal users, Business at $15/user/month on annual billing has monthly equivalents of $150, $375 and $750 and 12-month equivalents of $1,800, $4,500 and $9,000, before extra seats or services. The buying brief calculates the same examples from the dated plan record. Count actual managed users and any billable external collaborators, not just employees.
External collaborators can change the bill
The Box Business pricing table distinguishes Business, where external collaborators are paid, from Business Plus, which lists unlimited external collaborators. Box's external-user guidance says external users beyond the permitted amount on Starter or Business can contribute to purchased seat count. Do not assume every client, contractor or partner is free to invite.
Before purchasing, list how many external people need ongoing access, how often they rotate, who will invite and remove them, and whether a shared link can meet the use case. Ask Box to confirm the exact seat treatment in writing. If external collaboration is extensive, compare an itemized Business quote including those seats with Business Plus, rather than comparing the two headline rates alone.
Security controls are plan-specific
Box's pricing page lists built-in security and SOC 1/2/3 compliance support for Business, while its Enterprise plans list additional classifications, access policies, threat alerts and regulated-workload support. Those statements describe vendor capabilities and attestations, not automatic compliance for your company. A HIPAA or government workload still needs the appropriate contract, plan, configuration and your own process review.
Box Governance retention is included in Enterprise Plus and Enterprise Advanced and is available as a paid add-on to other business plans. Do not equate ordinary file version history with a legal hold or retention policy. Ask Box to identify the exact Shield, Governance, data-residency and support entitlements in the quote if they drive your decision.
For a security pilot, have an administrator demonstrate these actions on test content: require MFA or your identity-provider sign-in, restrict an external collaborator, revoke a link, review activity, and recover a prior file version. Record which controls were included in the chosen plan and which required another purchase.
Box recovery is not a complete backup strategy
Box's version-history documentation lists 50 retained versions for Business and Business Plus by default, subject to admin settings. Its ransomware guidance explains that encrypted files can sync from an affected computer into Box. Earlier versions or Trash may help, but Box describes recovery limits and says its revision system is per file rather than a point-in-time restoration of the whole environment.
That makes Box a collaboration and content-management purchase, not a replacement for an independently controlled backup with tested restores. If recovery is your goal, start with the business backup guide and verify protection for endpoints, servers and your productivity suite separately. A sync connection from a NAS to Box is also not proof of a versioned backup job.
A two-week trial worth running
- Define the missing capability. Identify a real sharing or governance problem your current platform does not solve. Name its owner and the documents in scope.
- Pilot with a small team. Include an administrator, a regular employee and a test external collaborator. Use non-sensitive files and the devices staff actually use.
- Test the workflow. Invite a partner, restrict a folder, revoke access, recover a prior version and export the evidence your owner needs. Check file-size limits with a representative large file.
- Check the operating burden. Record the person who handles access requests, support tickets, exceptions, user removal and quarterly review.
- Price the real deployment. Count internal and external seats, annual versus monthly billing, add-ons, migration, support, renewal and exit work. Use the budget worksheet to record actual quotes.
If the pilot adds no capability you need, keep the subscription you already own. If it does, choose the smallest Box plan that passed the test, and schedule a review of sharing permissions and active seats after the first month.
